Where AI fits · fit.arksystems.ca

Effective 12 September 2026

This notice explains what the “Where AI fits” tool collects, why, where it goes, and what you can ask us to do with it.

It covers this tool only, at fit.arksystems.ca. The ArkSystems website at arksystems.ca has its own privacy policy. This notice does not change that policy, and that policy does not describe this tool.

1. Who we are

The tool is run by FoodyGuru Inc., a company incorporated in British Columbia, operating as ArkSystems. In this notice, “we” and “us” mean FoodyGuru Inc. operating as ArkSystems.

Our Privacy Officer is Fredrick Cyril. You can reach us at hello@arksystems.ca.

2. What you give us

  • Your name and email address. We ask for these before the questions, so we know who asked and can send you a copy of your result if you want one.
  • If you arrived through an invitation link, we already have your name and email, because we entered them when we created your link. We also record when the link is used and how many times.
  • What you type into the questions: your business, the task, how often it happens, and how long it takes.
  • Your phone number, only if you ask us to call you.
  • Your choice about marketing email, only if you tick the box. We record that you agreed, and when.

Please do not type the names of clients, staff or anyone else into the questions. We do not need them to give you a useful answer.

3. What we collect automatically

  • Your result, and the step-by-step breakdown of how AI would run the task.
  • Which steps of the tool you reached, for example opening the questions, getting a result or downloading the PDF, and when. These are linked to a random visit identifier.
  • Where you came from: the page that linked you here, and any campaign tags in the link you followed.
  • Your IP address. Our own database never stores it as it is. It stores a scrambled version, which we use only to count how many times the tool has been used from one connection in the last 24 hours, and that count deletes itself after 24 hours. Separately, Google’s hosting logs record the full IP address and browser type of every request to the tool, and keep them for 30 days.
  • How the tool is used, through Google Analytics. It records that the page was opened and which steps were reached, along with your approximate location (city or region), your device and browser, and how you arrived. It does not receive your name, email address, phone number or anything you type. This runs as soon as the page loads.

4. Cookies

The tool uses a few cookies of its own, which it needs to work: they keep the steps of your visit together, remember how you arrived, and remember that you’ve already given your name and email so we don’t ask again. Most end when you close your browser; the last lasts 30 days.

Google Analytics also sets cookies, which measure how the tool is used. They last up to two years. Advertising features in Google Analytics are switched off.

Apart from Google Analytics, the tool loads no third-party scripts, and its fonts are served from our own server.

5. How we use it

  • To produce your result, using AI (section 6).
  • To email you a copy of your result, if you ask.
  • To call you, if you ask.
  • To send you occasional notes about where AI pays in small businesses, if you agreed.
  • To understand what small businesses are working on. We read what people submit, and we look at patterns across submissions, such as which kinds of jobs come up most often.
  • To keep the tool available to everyone, by limiting how many times it can be used each day.
  • To see which parts of the tool people use and where visitors come from, so we can improve it (section 3).

We do not sell your information, rent it, or use it for advertising. We do not share it with anyone except the service providers in section 7.

6. How the AI part works

Your description of your business, the task, how often it happens and how long it takes are sent to Google’s Gemini model, which runs on Google Cloud, to write your result and breakdown. Your name, email address and phone number are not sent.

Your result is written by AI and shown to you without a person checking it first. It is a starting point for your own thinking, not professional advice. We may read it afterwards, as described in section 5.

Google does not use what you type to train its models unless we give it permission, and we have not. Google may keep a copy for a short time: for up to 24 hours to answer repeated requests faster, and for a limited period to detect misuse of its service.

7. Service providers, and where your information is processed

ProviderWhat it does for usWhere
Google Cloud (Google LLC)Runs the tool, stores your records, and keeps its hosting logsRecords are stored in Canada (Toronto). The tool itself runs in the United States (Iowa), so your information passes through there
Google Cloud Vertex AI (Google LLC)Writes your result and breakdownUnited States
Google Analytics (Google LLC)Measures how the tool is usedUnited States
NamecheapOur email: the copy of your result, if you ask for one, and the message that tells us you asked for a callUnited States

Some of your information is processed outside Canada, mainly in the United States. While it is held in another country, it is subject to that country’s laws and may be available to its courts, law enforcement and national security authorities under those laws. We use providers we consider reputable and require them to protect it to a comparable standard, but we cannot rule out that access.

8. How long we keep it

  • The scrambled IP address used for counting runs: 24 hours, then deleted automatically.
  • Google’s hosting logs: 30 days.
  • Google Analytics: 14 months.
  • Your name, email, phone number, what you typed, your results and the steps you reached: we keep these as business records, with no fixed date for deleting them.
  • Emails in our mailbox, including the copy of your result and any callback request: kept the same way.

You can ask us to delete yours at any time, and we will (section 10).

9. How we protect it

  • Every connection to the tool is encrypted.
  • Your records are held in a database that is closed to direct access from the internet. Only the tool and our own administrator accounts can read it. Google encrypts it on disk.
  • Our admin area needs a secret to sign in, and repeated failed attempts are locked out.
  • Passwords and keys are kept in Google’s secret storage, not in our code.
  • Your IP address is scrambled before it reaches our database.

These measures reduce risk. No system can remove it entirely.

10. Your choices and rights

You can ask us:

  • what personal information we hold about you, and for a copy
  • to correct anything that is wrong
  • to delete your information
  • to stop sending you marketing email

To ask, write to hello@arksystems.ca. Every marketing note we send will also include a way to unsubscribe.

We will respond within 30 days. If we need longer, we will tell you why and when to expect a response. If we cannot give you access, we will explain why.

If you are not satisfied with how we have handled your information, you may complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca, or to the Office of the Information and Privacy Commissioner for British Columbia at oipc.bc.ca.
